1. What does this mean?

In this text we provide what Lietuvos tautinis olimpinis komitetas (further – LTOK) and Lietuvos olimpinis fondas (further – LOF) (LTOK are LOF both called - data keepers), keeps your personal data: (a) When you register and participate in events, organized by data keepers, (b) collecting statistics, (c) providing reports for International Olympic Committee (further – TOK), (d) when managing agreements with data providers. All individuals, that provide data for LTOK or LOF are called – data subjects.

2. About data keepers

Lietuvos tautinis olimpinis komitetas, legal entity code 191368237, address Olimpiečių g. 15, LT-09237, Vilnius and Lietuvos olimpinis fondas, legal entity code 190725412, address Olimpiečių g. 15, LT-09237, Vilnius, are data keepers.

LTOK sends athletes to represent Lithuania at the Olympic Games and other Olympic events - European Games, Youth Olympic Games and Olympic festivals, as well as contributes financially to the training of athletes, supports the activities of sports federations, awards Olympic scholarships to athletes, training programs for sports and sports medicine specialists, promotes the development of sports science and medicine.

LTOK actively implements IOC programs and agenda - supports and implements Olympic education projects, promotes gender equality and noble behavior in sports, development of sports for all, takes care of popularizing the Olympic movement, perpetuating its history, people deserving of the country\'s Olympic movement.

LTOK is the founder of LOF. The goals of LOF are to support the Olympic movement in Lithuania, to support the training and participation of Lithuanian athletes in the Olympic Games, to promote LOF, LTOK, trademark ownership, etc.

LTOK and LOF jointly determine the purposes and means of processing your personal data, taking into account the ongoing joint activities and projects. In these circumstances, they are the joint controllers of your personal data, who are jointly and severally liable for the lawfulness of the processing of your personal data.

3. What is personal data?

Personal data is any data collected by data keepers, that could be used to identify data subject directly or indirectly and is kept in electronical form.

Personal data includes any information, including the name and address of the data subject, collected by the data keepers about the data subject for the purposes specified in this document or in the separate consent or agreement of the data subject with the LTOK or LOF.

4. Why and what data are we keeping?

(a) Registration and participating in events, organized by data keepers

Data keepers regularly organize events and trainings to promote the development of sport, physical activity, forming an understanding that the Olympic Movement, as a philosophy of life, is aimed not only at the elite of athletes, but at anyone who wants to play sports, develop and improve their personalities. When you register and participate in events or trainings organized by the Data keepers, we collect and process your personal data for the purposes set out below:

· When teachers and educators register for events, we collect their: names, e-mails. email addresses, phone numbers. These data are collected on the basis of consent and stored for 5 (five) years.

· When students (up to 18 years old) register for events organized by the Data keepers, we collect their: names, e-mails. e-mail address or telephone number, date of birth, names of parents, e-mail address or phone number and signatures. This personal data is collected on the basis of consent and stored for 5 (five) years from the start of the event.

Educational institutions ensure that they have the consent of the participants to publish their images and other information before submitting them to us. Nevertheless, we respect the rights of the participants in the event and should contact us at the email address provided in this Privacy policy. We will remove the information by e-mail at the request of the Data subject.

With the consent of the representatives of the educational institutions and teachers, for the purpose of publicizing the event, we will collect their: names, surnames, information of the educational institution, image, these personal data will be stored for 5 (five) years from the beginning of the event. You may withdraw your consent at any time by emailing us at the email address provided in this Privacy policy by mail.

With the consent of the participants or their representatives, for the purpose of publicizing the event, we will collect the participants: names, surnames, educational institution information and images. This personal data will be stored for 5 (five) years from the start of the event. You may withdraw your consent at any time by emailing us at the email address provided in this Privacy policy.

During these events, participants can be filmed and photographed, and their photos can be used to publicize the events. Due to the mass of the event, the organizers cannot guarantee the right of every participant not to be filmed or photographed during the event. We promise not to harm your honor or dignity by using such material. If you wish to have your published photo removed from the event, please notify us by the email address provided in this Privacy policy.

The media may display your photos or videos only in accordance with the requirements of the law applicable to them, but the Data keepers are not responsible for the actions of the media.

With the consent of the participants of the events or their representatives, we may collect images of them for the purpose of publicizing the events, which we will keep for 5 (five) years from the end of the event, unless otherwise specified in the consent form.

The winners of the events are announced for the purpose of performing the prize giving, these data are stored for 5 (five) years.

Our website provides links to our accounts on social media. We currently have these accounts on social networks:

We recommend you to read third-party privacy notices and contact service providers directly if you have any questions about how they use your personal information.

When you publish information in closed social networking groups, such as the Facebook group "Olimpinė karta", which were created for the administration of projects implemented by LTOK or LOF, Data Controllers are common controllers of your personal data with social networks.

When you post information to these closed social networking groups, please:

· Do not publish photos or information about other people without that person's consent;

· Do not publish information that may harm or humiliate the honor and dignity of others;

· Respect the rights and freedoms of others.

If you believe that information posted to a closed group violates your rights, please contact the group administrator or the email address provided in this Privacy Statement

Cooperation with sponsors
Data keepers receive support from third parties in the performance of their activities, such as the organization of events, training, etc. Support is provided through a variety of means, so we may sometimes transfer your personal information to sponsors for the following purposes:

· For the purpose of presenting the prizes won by you, on the basis of a contract concluded in agreement with the regulations of the event, we may transfer your: name, surname, e-mail address for sponsors. This personal data will be stored for 10 (ten) years.

Reports for TOK
Data keepers are working with TOK programs and agenda – support Olympic programs, skatina lyčių lygybę ir kilnų elgesį sporte, sporto visiems plėtotę, rūpinasi olimpinio judėjimo populiarinimu, jo istorijos įamžinimu, šalies olimpiniam judėjimui nusipelniusiais žmonėmis. Duomenų valdytojai dalyvaudami Olimpinio solidarumo programose turi TOK pateikti ataskaitas apie įgyvendintas programas ar suteiktą paramą.

5. Getting data and showing

We receive data directly from you, from your profiles (Facebook, Google) and other sources.

We can show your data to our employees and service providers, such as for prize giving reasons or other reasons, mentioned in this document.

We could provide data about you:

● if we have to do it by the law;

● if we want to defend our rights and interests (for example, including providing your data to third parties to recover your debts to us);

● in order to fulfill our responsibilities as an TOK;

● for the proper implementation of the Olympic Charter.

We may provide your personal data for the purposes set out in this Privacy policy for TOK, whose headquarters are in Switzerland, accordance with the European Commission's decision on eligibility (GDPR document 45 article 3 d.).

Except as provided in this Privacy policy, we do not share your personal data with any other third parties.

6. "LTeam events" app will be used in sports events. The app works in this flow:

i. Participants should sign up into the app. It's free of charge.
ii. Participants choose the course on the map with free activities.
iii. Every activity they choose, they can participate, play or do some exercise.
iv. After finishing exercise participant gets points (by scanning QR code) to his account.
v. Participants collect points from different activities and in the end of the event they trade it for prizes.
vi. Service providers (Google, Facebook, Apple, etc.) are not involved in activities or prize givings, neither has any other relation to these events.
vii. Apple is not involved in any way with the contest or sweepstakes. Apple is NOT A sponsor of these sports events.

7.Your personal data security

Your data will be kept and managed according to GDPR, Lietuvos Respublikos asmens duomenų teisinės apsaugos įstatymo ir kitų teisės aktų nustatytų reikalavimų. While managing your data, we use organizational and technical measures, that protects your data from illegal using or deleting, changing, leaking and any other illegal usage.

8. Your rights

In this section, we provide information about your rights in relation to the processing of your personal data by Data Controllers and the cases in which you may exercise these rights. For more information about your rights or to exercise them, please contact us at the email address provided in this Privacy Notice by email address.

8.1. Right to access your personal data
We want you to fully understand how we use your personal data and not experience any inconvenience as a result. You can contact us at any time to ask if we process any of your personal data. If we store or use your personal data in any way, you have the right to access it. 8.2. Right to cancel your agreement about providing data

● when our storage or use of your personal data is illegal, but you decide not to request the deletion of the data;

● when we no longer need your personal data, but you need it to establish, enforce or defend a legal claim;

● during the period necessary to determine whether we have a more substantial legal basis to continue to process your personal data if you have exercised your right to object to our processing of personal data.

8.6. Right to have a copy of your data
You have a right to move your data, that is managed automatically and we received with your agreement. If you use this right, we will provide copy of your data.

8.7. Right to disagree with data managing
You have a right with GDPR 21 article. to disagree with our rules about managing and/or keeping your data.

9. Data subjects rights

You can accomplish your rights:

● By righting us an email to: dap@ltok.lt. The request must be electronically signed or accompanied by a notarized copy of an identity document in order to verify your identity.

● By sending a registered letter to Olimpiečių g. 15, LT- 09237, Vilnius, Lietuva, request must be signed. The request must be accompanied by a notarized copy of your identity document.

● You can also accomplish your rights through a representative. In this case, your representative must provide your name, contact details, a copy of an identity document certified by a notary, information about you: name, surname, other data on the basis of which we could identify you as a data subject, as well as a notarized copy of the document supporting your representation.

The request must be legible, signed, contain the name and surname of the Data subject and other data for communication in the desired form, information on which of the Data subject's rights and to what extent the Data subject wishes to exercise.

The data keepers will provide you with information on the actions taken upon receipt of your request for the exercise of your rights without undue delay, but no later than within 1 (one) month from the receipt of the request. Depending on the complexity of the application and the number of applications received, the said term may be extended for another 2 (two) months. In this case, we will inform you within 1 (one) month from the receipt of the request about such extension and the reasons for it. Data controllers may waive your rights only in cases provided for by law.

If you have any questions regarding the processing of your personal data, as well as the questions about your rights, or believe that your rights as a data subject might have been violated, please contact us immediately by e-mail: dap@ltok.lt. We ensure that upon receipt of your request, we will contact you within a reasonable time and inform you about the progress of the request, as well as the decision made.

10. Privacy policy changes

We may update or change this Privacy policy at any time. Such updated or amended Privacy policy will take effect on the date of its publication. We recommend that you review the latest version of the Privacy policy.
